Food Vendor Rules and Information

Food Vendor Information

Lakeshore Festival & Events invites you to participate in the 27th Annual Indiana Wizard of Oz Festival held on September 13 - 14, 2008. We are located approximately fifty miles east of Chicago’s Loop and fifty miles west of South Bend off I 94. The Festival’s theme revolves around the MGM classic movie “The Wizard of Oz”. We invite the original Munchkins as our celebrity guests and have attendees from all over the United States & abroad.

DATE: September 13 and 14, 2008, (no rain date).

TIME: Saturday 9 a.m. to 6 p.m., Sunday 10 a.m. to 5 p.m.

PLACE: Porter County Expo Center, 215 E. Division Road, Valparaiso, IN. We suggest canopies for sun protection, free standing with blocks, no spikes in the pavement. For canopy rentals, we recommend Northern Indiana Tent Rentals, 462-9539 or Canopy Sales & Service (219) 764-4940. They set-up and take down for you.

BOOTH SIZE & FEE: 10' x 10' - $ 225.00, 10’ X 12’ - $275.00, 10' x 20' - $ 450.00
Nonprofit Organizations pay:
10’ X10’ - $ 125.00, 10’ X 12’ - $150.00, 10’ X 20’ - $225.00). Payment can be made by check, money order, Visa/MasterCard. Cash is not accepted.

SET UP: Food booths will set-up Friday from 10:00 a.m. to 12:00p.m. Food booth set up may be staged.

ADVERTISING: The Festival will be advertised in newspapers, posters, flyers, radio, and TV.

COMMERCIAL FOOD VENDORS: Booth are assigned FIRST COME-FIRST SERVED BASIS.

PERMITS: All commercial food vendors must have their temporary food service permits from the Porter County Health Department one month prior to the Festival. Vendors that do not have their permits by the deadline will not be allowed to participate! For more information on the permits or to obtain one, call the Porter County Health Department at (219) 465-3525.

All food vendors must know, understand and follow all current fire codes.

NSF CHECKS: All non sufficient funds checks will be assessed a $25.00 fee.

REFUNDS: No refunds will be made under any circumstances once you are accepted as a vendor.

CONFIRMATION: Booth assignment and other pertinent information will be sent provided you enclose a  business size (4" x 9 ½") self addressed envelope and two .41 stamps.

TAX RATE: The Indiana Tax Rate is 6% and is the responsibility of the vendor.

SECURITY: Security will be provided Friday and Saturday nights. 

Rules & Requirements

1. Jury Requirements: You must submit your full menu and one color photograph of your display. IT DOES NOT MATTER IF YOU HAVE PARTICIPATED IN PREVIOUS YEARS. Any changes in your menu must be approved by the Booth Chairperson and/or Festival General Chairman. The committee decision is final.

2 Each Vendor is responsible for his or her own display. We must have one responsible party for the registered booth spaces. Only those 18 yrs of age or older can submit an application.

3. Vendors are allowed to have more than one location in the festival grounds, and can serve the same menu at two different locations providing the food item is available.

4. The Committee has the right to limit entries per menu item.

5. You are expected to exhibit both days and all hours of the Festival. Please be on time each day. NO early departing. Exhibitors who fail to exhibit both days of the Festival or disassemble their booth early will be refused entrance to future festivals.

6. Your display booth area must be kept neat and clean. All packing boxes, supplies, equipment and personal food containers must be hidden from the public view. You must remain in your own booth space! Violators will be asked to leave. Exhibitor area must be left neat and clean at the Festival closing. Trash should be transported to supplied dumpsters.

7. Each food booth must be equipped with an approved fire extinguisher. Each food vendor is responsible for  knowing, understanding and following the current fire and health department codes. Charcoal grills are permitted but you must take the ashes with you when you leave. Cooking equipment and/or charcoal grills must be positioned in the booth such that there is no accessibility to the general public. No disposal of ashes is permitted on festival grounds.Violators will be asked to leave and will not be allowed back to future festivals.

8. No dumping anywhere of water, oil, grease or other fluids is allowed except in supplied dumping tanks. Violators will be asked to leave and will not be allowed back to future festivals. Please bring your own containers to transfer gray water and grease to the holding tanks.

9. No booths are to be moved without the permission of the booth Chairperson. No booths are to block walkways, handicap access ramps or fire hydrants.

10. Due to a new state regulation, all tents must be flame retardant.

11. No refunds will be given after you have been accepted as a vendor.

12. No pets allowed.

13. Generators may be permitted provided a certified letter from the manufacturer or qualified independent
testing agency verifies the decibel level at 57 decibels or below.

14. Because of the family nature of the Wizard of Oz Festival, absolutely no alcohol beverages or illegal substances are permitted in vendor booths or on the festival grounds. Violators will be asked to leave immediately and will not be allowed back to future festivals.
